Job Requirements

  • Must have a bachelor's degree or equivalent experience
  • must have at least 5 years experience in event planning, executive assistance, or concierge travel planning
  • must possess excellent communication and problem solving skills
  • must have the ability to provide high level customer service
  • must be able to travel 30-40% both domestically and internationally
  • must be proficient in relevant software tools including Microsoft Office, Concur, Asana
  • must be physically able to stand and walk for long periods during events
  • must be able to lift up to 50 pounds
  • must be available for nights, weekends, holidays, and on-call travel changes

Job Qualifications

  • Bachelor's degree in Hospitality, Communications, or Business Administration preferred
  • 5+ years experience as an Event Planner, Executive Personal Assistant, or Concierge Travel Planner required
  • polished verbal and written communication skills
  • problem solving and detail oriented thinking skills
  • positive attitude and excellent follow-through
  • exceptional customer service traits handling VIP/Executive Family members
  • ability to travel domestically and internationally 30-40% of the year
  • software proficiency in Microsoft Office Suite and O365, Concur, Asana, Saber preferred

Job Duties

  • Provide concierge white glove level service in planning and on-site/off-site execution
  • research and coordinate travel arrangements ensuring reservations for air travel, car rentals, and accommodations are accurate and itineraries communicated timely
  • analyze services provided by vendors and provide recommendations
  • problem solve and make decisions with guidance using policies and business plans
  • work with the Executive Events team to plan 50+ events per year
  • collaborate with cross-functional teams for successful high-quality events
  • provide on-site event support on weekdays and weekends
  • research destinations, resorts, hotels, campsites, activities, and transportation
  • develop and create trip presentations collaborating with Executive Events Manager
  • extend concierge level service to family members and VIPs
  • create itinerary, travel documents, and operations plans
  • handle and manage multiple expense reports
  • administrative tracking including logistics, flight and travel logs, digital itineraries, budgeting, forecasting, and reconciliation
