Job Requirements
- High school degree or GED
- Proven customer service experience
- Proficiency in Microsoft Office and Sunrise applications
- Ability to learn new software applications
- Must be able to pass a drug test
- Participate in health screenings including tuberculosis test and physical evaluation
- Covid-19 and influenza vaccination as mandated by federal, state, or local laws
- Ability to handle multiple priorities

Job Qualifications

Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, ensure community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure minimal wait times
- Greet potential candidates interested in career opportunities, direct them to apply online, or capture candidate information into the Applicant Tracking System
- Answer incoming telephone and resident calls within two to three rings with the appropriate community greeting and identification
- Take complete messages including name, number, and message, and communicate messages to the intended recipient
- Offer and provide community overview to callers, determine appropriate forwarding, and notify callers of transfer
- Manage appointments for residents and family members such as hairdresser and transportation
- Send get well cards to residents in the hospital, order Memory Flowers for residents who have passed away, and send sympathy cards to families as needed
- Order flowers and nameplates for new residents prior to move-in, order guest meals for move-in day, maintain marketing and move-in packet inventory
- Support Director of Sales with initial inquiry calls, lead tracking database entry, and administrative duties related to resident move-in
- Maintain desk and entry area neat and organized
- Check and maintain Bistro cleanliness, ensure availability of coffee, fruit, popcorn, and other snacks
- Keep music playing throughout the day
- Ensure coverage of front desk during breaks
- Partner with community team on compliance with occupational health and safety regulations and promote risk management programs
- Practice safety procedures including PPE, fire extinguisher use, Safety Data Sheets, and Lockout Tagout
- Maintain resident and team member rosters and work schedules for emergency procedures
- Champion the Safe Leaving Program and respond to emergencies as per policies
- Ensure guests and residents sign in and out appropriately
- Maintain high-risk elopement list with photographs
- Update resident phone lists and rosters daily
- Prepare and tally meal tickets and meal count sheets
- Collect and process meal ticket money in compliance with business controls
- Organize and distribute mail and newspapers
- Post Daily Menu on Menu Board
- Maintain resident credit forms
- Assist with recruitment data entry and office supply management
- Track and disperse team member paychecks
- Participate in team engagement activities and maintain mandatory training compliance
- Attend meetings and perform other duties as assigned.
