Job Duties
- Oversee the community entry area for visitors, guests, and residents
- extend a warm welcome and greeting
- offer and provide beverages to visitors and guests
- ensure community safety protocols are in place
- contact the Director of Sales, Executive Director, or Department Coordinator to meet prospective residents, families, or visitors
- greet potential job candidates and direct them to apply or enter information in the Applicant Tracking System
- answer incoming telephone and resident calls promptly with an appropriate greeting
- take complete and accurate messages and communicate them to the intended recipients
- provide community overviews to callers and direct them accordingly
- manage appointments for residents and family members
- send get well and sympathy cards as needed
- order Memory Flower for deceased residents
- order flowers and name plates for new residents prior to move-in
- order guest meals for resident and family on move-in day
- maintain marketing and move-in packet inventory
- assist the Director of Sales with inquiry calls and customer relationship management database
- keep the front desk and entry area neat and organized
- monitor and restock the Bistro area ensuring cleanliness and pleasant atmosphere
- maintain safety compliance including Personal Protective Equipment and emergency protocols
- update resident phone lists, rosters, and logs daily
- prepare, collect, and account for meal tickets
- organize and distribute mail and newspapers
- assist the Business Office Coordinator with recruitment and administrative duties
- monitor and order office supplies
- distribute team member paychecks
- participate actively as a team member supporting organizational goals
- maintain compliance through required training
- perform other duties as assigned
