Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure that the community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure wait times are minimal
- Greet potential candidates interested in learning more about Sunrise careers and job openings and direct candidates to apply online or capture their information into the Applicant Tracking System to support recruitment
- Answer incoming telephone calls and resident calls promptly with appropriate greeting and identification
- Take complete messages with pertinent information and communicate messages to the intended recipient
- Offer and provide a community overview to callers, determine the appropriate contact, and notify callers of transfers
- Manage appointments for residents and family members such as hairdresser and transportation
- Send get well cards to residents in the hospital and sympathy cards to families or responsible parties
- Order Memory Flower for residents who have passed away
- Order flowers and name plates for new residents prior to move-in and guest meals for residents and family on move-in day
- Create and maintain marketing and move-in packet inventory
- Support the Director of Sales with initial inquiry calls and Customer Relationship Management lead tracking
- Keep the front desk and entry area neat and organized
- Monitor Bistro area for cleanliness and refreshments, maintain and clean the popcorn machine, and ensure music is playing
- Partner with community team to ensure compliance with occupational health and safety regulations and promote risk management policies
- Practice safety procedures including PPE use
- Maintain resident, team member rosters, and work schedules for emergencies
- Champion the Safe Leaving Program and monitor entry and exit of residents
- Update resident phone lists, move-in and move-out registers, and guest logs
- Prepare meal tickets and process meal ticket payments in accordance with business controls
- Organize and distribute mail and community newspapers
- Post and display the Daily Menu
- Assist with recruitment data entry and administrative tasks
- Monitor and order office supplies
- Track and disperse team member paychecks
- Participate actively as a team member committed to team goals and principles of service
- Attend regular meetings and maintain compliance with training requirements
- Perform other duties as assigned
