Job Requirements

Job Qualifications

  • high school degree or GED
  • proven customer service experience
  • proficiency in computer skills including Microsoft Office and community applications
  • ability to learn new software applications
  • understanding of safety and regulatory compliance related to driving community vehicles when applicable

Job Duties

  • oversee the community entry area for visitors, guests, and residents
  • extend a warm welcome and greeting
  • offer and provide beverages to visitors and guests
  • ensure community safety protocols are in place
  • contact the director of sales, executive director, or department coordinator to meet prospective residents, families, or visitors
  • greet potential job candidates and direct them to apply online or record their information
  • answer incoming telephone calls and resident calls promptly with appropriate greetings
  • take complete messages and communicate them to intended recipients
  • provide community overview to callers and direct calls appropriately
  • manage appointments for residents and family members
  • send get well cards to residents in the hospital
  • order memory flowers for deceased residents
  • send sympathy cards to families
  • order flowers and name plates for new residents
  • order guest meals for move-in days
  • maintain marketing and move-in packet inventory
  • support director of sales with initial inquiry calls and customer relationship management
  • keep desk and entry area neat and organized
  • monitor and maintain cleanliness and stock in the Bistro area
  • ensure music plays throughout the day
  • ensure front desk coverage during absences
  • partner with community team to ensure compliance with health and safety regulations
  • practice safety procedures including PPE and fire extinguishers
  • maintain resident and team member rosters and work schedules for emergencies
  • champion safety programs
  • respond to emergencies as per policies
  • ensure guest and resident sign-in
  • maintain high-risk elopement list
  • update resident phone list and rosters daily
  • prepare meal tickets and tally meal counts
  • collect and process meal ticket money
  • organize and distribute mail
  • collect and distribute newspapers
  • post daily menu
  • maintain resident miscellaneous credits forms
  • assist with recruitment process and administrative duties
  • monitor and order office supplies
  • track and disperse paychecks
  • participate actively as team member committed to goals
  • demonstrate team member credo in daily interactions
  • commit to service principles
  • contribute to engagement programs
  • attend meetings
  • maintain compliance with required training
  • perform other duties as assigned
