Job Requirements

  • prior experience in a customer service or administrative role preferred

Job Duties

  • Welcomes new customers and visitors and assures their comfort and directs them to the proper personnel
  • ensure all parties sign in and follow protocols as guests in the community
  • update and assemble marketing informational brochures and packets as requested
  • ensure proper referrals to marketing team members
  • maintain electronic calendar for dining reservations, transportation, and all other service appointments
  • assist residents, family members, and guests with general requests
  • fulfill personal concierge requests such as area restaurant reservations, MapQuest directions, internet research
  • receive and accurately submit all maintenance work order requests electronically to appropriate department
  • answer telephones
  • screen calls, forward calls and/or record and forward messages accurately
  • monitor and maintain office equipment
  • compile monthly billing charges for business office
  • maintain a professional and kempt appearance of Concierge area
  • manage sorting and distribution of mail
  • file correspondence and other materials as needed
  • type forms, form letters and other documents as needed, collate and photocopy materials as necessary
  • maintain customer confidentiality in conformance with facility confidentiality policy
  • prepare resident paperwork daily for scheduled doctor appointments for the following day
  • occasionally assist with marketing by giving general tours of community
