Job Requirements

Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, ensure community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and minimize wait times
- Greet potential job candidates, direct them to apply online or capture their information to launch recruitment
- Answer incoming telephone calls and resident calls within two to three rings with appropriate greeting and identification
- Take complete messages with pertinent information and communicate to the intended recipient
- Provide community overview to callers and forward calls appropriately, notifying callers
- Manage appointments for residents and family members
- Send get well cards to residents in hospital, order Memory Flower for residents who have passed, send sympathy cards to families
- Order flowers and name plates for new residents prior to move-in
- Order guest meals for resident and family on day of move-in
- Create and maintain marketing and move-in packet inventory
- Support Director of Sales with inquiry calls and customer relationship management lead tracking database entry
- Perform general administrative duties related to resident move-in process
- Keep front desk and entry area neat and organized
- Check and maintain the Bistro area with refreshments and cleanliness
- Ensure music is playing throughout the day
- Partner with community team for compliance with occupational health and safety
- Practice safety procedures including PPE, fire extinguishers, SDS, Lockout Tagout
- Maintain Resident and Team Member Rosters and schedules for emergency procedures
- Champion Safe Leaving Program ensuring resident safety
- Respond to emergencies per policies
- Ensure guests and residents sign in and out appropriately
- Maintain elopement list with photographs at front desk
- Update resident phone list, move-in and move-out registers, guest logs
- Prepare meal tickets and tally meal counts
- Collect and process meal ticket money
- Organize and distribute mail and newspapers
- Display Daily Menu
- Maintain resident form for miscellaneous credits
- Assist with recruitment computer data entry and other admin duties
- Monitor and order office supplies
- Track and disperse team member paychecks
- Participate as a committed team member, demonstrate Team Member Credo
- Commit to Principles of Service
- Engage in team and customer engagement programs
- Attend meetings as directed
- Maintain training compliance
- Perform other assigned duties
