Job Duties
- Oversee the community entry area for visitors and residents, extend a warm welcome, offer refreshments, ensure safety protocols are followed
- Contact Director of Sales or Executive Director to meet prospective residents and families, minimize wait times
- Greet potential career candidates, direct them for application and capture information in Applicant Tracking System
- Answer incoming calls promptly with appropriate greetings, take and relay messages accurately
- Provide community overview to callers, direct calls appropriately, notify callers of transfers
- Manage appointments for residents and families such as hairdresser and transportation
- Send get well and sympathy cards to residents and families as needed
- Order flowers and name plates for new residents
- Maintain marketing and move-in packet inventory
- Support Director of Sales with inquiry calls and lead tracking databases
- Maintain clean and organized front desk and Bistro areas, restock snacks and beverages
- Monitor community compliance with occupational health and safety regulations
- Practice safety protocols including PPE, fire extinguishers, and Safety Data Sheets
- Maintain resident and team member rosters for emergency procedures
- Respond to emergencies according to policy
- Ensure all guests and residents sign in and out appropriately
- Update resident phone lists, move-in/out registers, and guest logs
- Prepare meal tickets, collect and process payments
- Organize and distribute mail and newspapers
- Assist with recruitment data entry and administrative duties
- Participate actively in team engagement and training
- Attend meetings and comply with all required training
- Perform other duties as assigned
