Job Duties

  • Oversee the community entry area for visitors, greet and offer beverages to guests, ensure safety protocols are followed
  • Contact Director of Sales, Executive Director, or Department Coordinator for prospective resident meetings and minimize wait times
  • Greet and direct potential career candidates, capture application information to launch recruitment
  • Answer inbound telephone and resident calls promptly with appropriate greetings
  • Take and deliver detailed messages accurately
  • Provide community overview to callers and transfer calls appropriately
  • Manage resident and family appointments such as hairdresser and transportation
  • Send get well and sympathy cards to residents and families as needed
  • Order flowers and nameplates for new residents and guest meals for move-in day
  • Maintain marketing and move-in packet inventory
  • Support Director of Sales with inquiry calls and lead tracking
  • Perform administrative duties related to resident move-in process
  • Keep front desk and Bistro area clean and organized
  • Monitor and restock Bistro refreshments and maintain music ambiance
  • Ensure front desk is covered during absences
  • Partner with team to comply with health and safety regulations
  • Practice safety procedures including PPE, fire safety, and lockout/tagout
  • Maintain resident and team member rosters and schedules for emergency response
  • Implement Safe Leaving Program and manage resident entry/exit security
  • Respond to emergencies per policy
  • Ensure guest and resident sign-in/out compliance
  • Maintain high-risk elopement list with photos at front desk
  • Update daily resident phone lists, move-in/out registers, and guest logs
  • Prepare and tally meal tickets for Dining Service Coordinator
  • Collect and process meal ticket payments
  • Organize and distribute mail and newspapers
  • Post daily menu
  • Maintain resident credit forms
  • Assist with recruitment data entry and general administrative tasks
  • Monitor and order office supplies
  • Track and disperse team member paychecks
  • Participate actively in team goals and engagement
  • Demonstrate Team Member Credo and Principles of Service
  • Engage in team member surveys and improvement plans
  • Attend regular meetings
  • Complete required training and comply with regulations
  • Perform additional duties as assigned
