Job Requirements

  • High school degree/GED
  • Proven customer service experience
  • Proficiency in computer skills including Microsoft Office and Sunrise applications
  • Ability to learn new software applications

Job Qualifications

Job Duties

  • Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure community safety protocols are in place
  • Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors ensuring minimal wait times
  • Greet potential candidates interested in employment and assist with application process and applicant tracking system entry
  • Answer incoming telephone calls and resident calls promptly with appropriate greeting and identification
  • Take complete messages and communicate them accurately to intended recipients
  • Provide community overviews to callers and direct calls to appropriate personnel
  • Manage resident and family appointments such as hairdresser and transportation services
  • Send get well and sympathy cards to residents and families as needed
  • Order flowers and name plates for new residents and guest meals for move-in days
  • Maintain marketing and move-in packet inventory and assist with resident move-in administrative duties
  • Keep front desk and entry areas neat and organized
  • Monitor and restock the Bistro area, including refreshments and music
  • Ensure proper coverage of front desk when away
  • Partner with team to ensure compliance with safety and risk management protocols
  • Maintain resident and team member rosters and emergency schedules
  • Enforce safety procedures including PPE, fire extinguishers, SDS, and lockout tagout
  • Respond to emergencies per policy
  • Maintain visitor sign-in/out procedures and high-risk elopement lists
  • Update daily resident phone lists, move-in/move-out registers, and guest logs
  • Prepare and process meal tickets and payments
  • Organize and distribute mail and newspapers
  • Post daily menu and maintain resident credit forms
  • Assist with recruitment data entry and office supply management
  • Track and disperse team member paychecks
  • Participate actively in team meetings and engagement programs
  • Maintain compliance with required training and certifications
  • Perform other assigned duties as needed
