Job Requirements
- High school diploma or equivalent
- prior customer service experience
- basic computer literacy
- ability to communicate effectively both verbally and in writing
- capability to manage multiple tasks efficiently
- attention to detail and accuracy in record keeping
- willingness to comply with safety and health regulations
- ability to work flexible hours as needed
- pass a drug test excluding marijuana
- complete applicable health screenings such as tuberculosis test and physical evaluation
- obtain Covid-19 and Influenza vaccinations if mandated by local laws
- sign Driver job description if driving a company vehicle
- reliable and professional demeanor
Job Qualifications
- High school degree or GED
- proven customer service experience and skills
- proficiency in computer skills including Microsoft Office (Windows, Outlook, Excel) and Sunrise applications
- ability to learn new applications quickly
- strong organizational and multitasking abilities
- excellent written and verbal communication skills
- good judgment, problem-solving, and decision-making capabilities
- familiarity with occupational health and safety requirements
- willingness to participate in required training and comply with safety protocols
- ability to work collaboratively in a team environment
- experience handling sensitive information with confidentiality
Job Duties
- Oversee the community entry area for visitors, guests, and residents
- extend a warm welcome and greeting
- offer and provide beverages to visitors and guests
- ensure community safety protocols are in place
- contact the Director of Sales, Executive Director, or Department Coordinator to meet prospective residents, families, or visitors
- greet potential candidates and assist with recruitment process by capturing candidate information
- answer incoming telephone calls and resident calls promptly with appropriate greeting and identification
- take complete messages and communicate them to intended recipients
- provide community overview to callers and direct them accordingly
- manage appointments for residents and family members
- send get well and sympathy cards to residents and families
- order Memory Flowers for deceased residents
- order flowers and name plates for new residents
- order guest meals for resident and family on move-in day
- maintain marketing and move-in packet inventory
- assist Director of Sales with inquiry calls and lead tracking database entry
- perform administrative duties related to resident move-in process
- keep desk and entry area neat and organized
- check Bistro for cleanliness and ensure availability of refreshments and snacks
- maintain music throughout the day
- coordinate coverage for front desk duties when stepping away
- partner with community team to ensure compliance with occupational health and safety requirements
- practice safety procedures including Personal Protective Equipment, fire extinguishers, and lockout tagout
- maintain resident and team member rosters and emergency schedules
- champion Safe Leaving Program and respond to emergencies as per policies
- ensure all guests and residents sign in and out
- maintain high-risk elopement list with photographs
- update resident phone lists, move-in/move-out registers, and guest logs daily
- prepare and tally meal tickets and process meal ticket money
- organize and distribute mail and newspapers
- post daily menu on board
- maintain resident form for miscellaneous credits
- assist with recruitment and administrative data entry tasks
- monitor and order office supplies
- track and disperse team member paychecks
- participate actively as a team member contributing to team goals
- demonstrate daily adherence to Team Member Credo and Principles of Service
- contribute to engagement programs and attend meetings
- maintain compliance with required training
- perform other duties as assigned
