Job Duties

  • Oversee the community entry area for visitors, guests, and residents and ensure safety protocols are in place
  • Contact Director of Sales, Executive Director, or Department Coordinator to meet prospective residents, families, or visitors
  • Greet potential job candidates and process applications through the Applicant Tracking System
  • Answer incoming calls promptly with appropriate greetings and take detailed messages
  • Provide community overviews to callers and direct them appropriately
  • Manage appointments for residents and families such as hairdresser and transportation
  • Send get well and sympathy cards and order memorial flowers
  • Order flowers and nameplates for new residents and guest meals for move-ins
  • Maintain marketing and move-in packet inventories
  • Support Director of Sales with inquiry calls and lead tracking
  • Keep front desk and entry areas neat and organized
  • Monitor Bistro area for cleanliness and refreshments and ensure music is playing
  • Ensure front desk coverage when away
  • Promote compliance with occupational health and safety regulations
  • Practice safety procedures and maintain emergency rosters and schedules
  • Respond to emergencies and maintain visitor sign-in protocols
  • Update resident phone lists, move-in and move-out logs, guest sign-in logs
  • Manage meal tickets and money collection for Dining Service Coordinator
  • Organize and distribute mail and newspapers
  • Maintain resident credit forms per Business Office Coordinator guidelines
  • Assist in recruitment data entry and general administrative duties
  • Monitor and order office supplies
  • Track and disperse team member paychecks
  • Actively participate in team meetings and engagement programs
  • Maintain compliance with required training and perform other assigned duties
