Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages, and ensure community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure minimal wait times
- Greet potential career candidates and direct them to apply online or record candidate information to launch the recruitment process
- Answer incoming telephone calls with appropriate greetings and identification, take complete messages and communicate to intended recipients
- Offer community overviews to callers and direct calls to appropriate parties
- Manage appointments for residents and family members including hairdresser and transportation
- Send get well, sympathy cards, and order Memory Flowers as needed for residents
- Order flowers and name plates for new residents and guest meals on move-in day
- Maintain marketing and move-in packet inventory
- Support sales inquiries and Customer Relationship Management lead tracking
- Maintain desk and Bistro area cleanliness and stock refreshments
- Ensure music plays throughout the day and coverage of front desk when away
- Partner with community team on safety compliance and risk management procedures
- Maintain resident and team member rosters and emergency work schedules
- Respond to emergencies and enforce sign-in/out procedures
- Update resident phone list, move-in/out registers, guest logs, and prepare meal tickets
- Organize and distribute mail, newspapers, and display daily menu
- Assist Business Office Coordinator with recruitment process and administrative duties
- Monitor and order office supplies
- Track and disperse team member paychecks
- Participate in team meetings, training, and customer engagement activities
- Perform other duties as assigned
