Job Requirements

  • High school degree or GED
  • customer service experience
  • proficiency with computer skills including Microsoft Office and specialized applications
  • ability to handle multiple priorities

Job Duties

  • Oversee the community entry area for visitors, guests, and residents
  • extend a warm welcome and greeting
  • offer and provide beverages to visitors and guests
  • ensure community safety protocols are in place
  • contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors
  • greet potential candidates interested in careers and direct them to apply online or enter their information into the Applicant Tracking System
  • answer incoming telephone and resident calls promptly with appropriate greeting
  • take complete messages and communicate them to recipients
  • provide community overview to callers and direct calls appropriately
  • manage appointments for residents and family members
  • send get well cards to residents in the hospital
  • order Memory Flower for residents who have passed away
  • send sympathy cards to families
  • order flowers and name plates for new residents prior to move-in
  • order guest meals for new resident move-in day
  • create and maintain marketing and move-in packet inventory
  • support the Director of Sales with inquiry calls and lead tracking
  • perform administrative duties related to resident move-in
  • keep front desk and entry area neat and organized
  • check Bistro for cleanliness and restock refreshments
  • maintain music throughout the day
  • ensure front desk coverage when away
  • partner with community team to ensure compliance with safety regulations
  • practice safety procedures including use of PPE and emergency protocols
  • maintain resident and team member rosters and work schedules for emergencies
  • champion the Safe Leaving Program to ensure resident safety
  • respond to emergencies per policies
  • ensure visitors sign in and out properly
  • maintain a high-risk elopement list
  • update resident phone lists and registers
  • prepare and process meal tickets and payments
  • organize and distribute mail and newspapers
  • post daily menu
  • maintain miscellaneous credit forms
  • assist with recruitment data entry and administrative tasks
  • monitor and order office supplies
  • track and distribute team member paychecks
  • actively participate in team goals and meetings
  • demonstrate commitment to service principles
  • engage in team member engagement programs
  • maintain compliance with training requirements
  • perform additional duties as assigned
