Job Requirements

  • High school diploma or equivalent
  • Previous customer service experience
  • Proficiency with Microsoft Office and related computer applications
  • Ability to manage multiple tasks simultaneously
  • Excellent communication skills
  • Detail-oriented with good organizational skills
  • Commitment to safety practices and policies
  • Ability to stand for extended periods and perform physical tasks as required
  • Completion of drug screening and any required health evaluations
  • Willingness to participate in mandated vaccinations as applicable
  • Valid driver’s license if required to drive company vehicles
  • Ability to maintain confidentiality and professionalism at all times.

Job Qualifications

  • Ability to handle multiple priorities effectively
  • Commitment to team collaboration and service principles
  • Experience with recruitment or applicant tracking systems is a plus
  • Knowledge of occupational health and safety regulations is beneficial
  • Background in administrative support or reception is preferred.

Job Duties

  • Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure that the community safety protocols are in place
  • Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure wait times are minimal
  • Greet potential candidates interested in learning more about careers and job openings and direct them to apply online or capture candidate information into the Applicant Tracking System
  • Answer incoming telephone calls and resident calls promptly with the appropriate community greeting message and identification
  • Take complete messages with pertinent information and communicate them to the intended recipient
  • Offer and provide a community overview to callers and determine appropriate forwarding
  • Manage appointments for residents and family members such as hairdresser and transportation
  • Send get well cards to residents hospitalized and send sympathy cards and order Memory Flower for residents who have passed
  • Order flowers and name plates for new residents and guest meals for resident and family on move-in day
  • Create and maintain marketing and move-in packet inventory as needed
  • Support the Director of Sales with lead tracking database entry and resident move-in administrative duties
  • Keep desk and entry neat and organized
  • Monitor Bistro cleanliness and stock refreshments and snacks
  • Ensure music is played throughout the day
  • Partner with community to ensure compliance with occupational health and safety regulations and risk management policies
  • Practice safety procedures, including PPE and emergency protocols
  • Maintain emergency resident and team member rosters and schedules
  • Champion the Safe Leaving Program and respond to emergencies as per policies
  • Ensure guests and residents sign in and out appropriately
  • Maintain a high-risk elopement list
  • Update resident phone lists, move-in and move-out registers, guest and sign-in logs
  • Prepare and account for meal tickets and money
  • Organize and distribute mail and newspapers
  • Post daily menu
  • Maintain resident credit forms
  • Assist with recruitment data entry and administrative duties
  • Monitor and order office supplies
  • Track and distribute team member paychecks
  • Participate actively in team goals and engagement initiatives
  • Attend meetings as directed
  • Complete required trainings and perform other duties as assigned.
