Job Requirements
- High school diploma or equivalent (GED)
- At least two (2) years of related work experience with the elderly and dementia populations
- At least one (1) year of secretarial training or clerical experience preferred
- Ability to read and write, follow written and verbal instructions, and communicate effectively
- Ability to work with the elderly population in a courteous, friendly, productive manner, demonstrating patience, compassion, flexibility, adaptability, and interpersonal skills
- Ability to consistently perform duties with consideration for resident's rights, demonstrating integrity and confidentiality in the care of the residents and in handling their health information and all personal/confidential information
- Demonstrate service excellence through daily interactions and be skilled at active listening
- Demonstrate excellent organizational, attention to detail, multi-tasking, and time management skills
- Work independently and exercise sound judgment
- Observe proper safety protocols and appropriate sanitary techniques
- Demonstrate proficiency with applicable computer programs and databases, including Microsoft Office Suite

Job Duties
- Consistently greet and assist guests, residents, staff, visitors, vendors, and the general public in person or via phone in a polite, professional, friendly, and timely manner
- Effectively manage the front desk sign-in process for visitors, vendors, and contractors, ensuring proper check in, applicable dispensing of, and guests wearing appropriate badges according to policy and procedure
- Provide appropriate information to all visitors, including current marketing information and ensure they are directed to the appropriate individual(s) who can assist them
- Consistently maintain and protect the confidentiality of residents' confidentiality
- Answer all phone calls as quickly as possible in a polite, professional manner, properly transferring calls as well as taking and conveying phone messages as needed
- Facilitate transportation requests to appropriate staff, coordinate and communicate the timing transportation to residents and staff, place courtesy calls to residents to remind them of transportation trips as needed
- Accommodate residents' requests for assistance with dry cleaning, grocery services, stamp purchases, copies, faxes transportation, etc.
- Balance cash register/drawer including cash receipts and checks that have been cashed for individuals at the front desk on a daily basis, complete accurate monthly charge sheets in accordance to policy
- Receive packages and mail, sort mail, log in packages and coordinate distribution, keeping residents/staff informed in a timely manner regarding pick up and/or delivery
- Assist residents with signing up for programs and activities, collecting appropriate payments if required, assist with planning resident events, maintaining accurate records
- Assist with facilitating maintenance requests, input requests into computer system, and communicate to appropriate staff regarding urgent and/or emergent situations
- Ensure the reception area and lobby areas are kept clean, clutter free, and well maintained
- May support other departments with clerical duties as assigned by the Resident Services Supervisor or Director of Life Safety & Security
- May utilize personal vehicle for occasional Administration business
- The position falls under the direct supervision of the Resident Services Supervisor
- The position is not required to supervise or direct other employees
