Job Requirements

  • Must have high school diploma or equivalent
  • associate's degree or coursework in administration nonprofit management or related field preferred
  • at least two years of administrative or operational support experience preferably in nonprofit library or community-facing setting
  • familiarity with procurement processes inventory systems and office software
  • ability to support volunteer-run operations or resale programs is a plus
  • experience with donor or CRM databases preferred
  • ability to facilitate bulk mail processes preferred
  • strong organizational and multitasking skills
  • clear and professional communication
  • able to perform manual tasks up to 25 pounds
  • ability to work flexible hours including evenings and weekends
  • must submit to and pass a criminal background check

Job Qualifications

  • High School diploma or equivalent
  • associate's degree or coursework in administration nonprofit management or related area preferred
  • minimum of two years of administrative or operational support experience preferably in a nonprofit library or community-facing environment
  • familiarity with procurement processes basic inventory systems and standard office software including email calendar and spreadsheets
  • experience supporting volunteer-run operations or resale used-book programs is a plus
  • basic experience with donor or CRM databases and list maintenance preferred
  • experience facilitating bulk mail operations or coordinating large-scale mailings preferred
  • strong organizational skills and attention to detail
  • reliable multitasking and time management under shifting priorities
  • clear professional written and verbal communication
  • customer-service orientation and calm problem-solving skills
  • ability to perform light manual tasks associated with inventory and event setup
  • familiarity with USPS bulk mail procedures and account management

Job Duties

  • Handle all office supply inventory and ordering for the department including placing orders with vendors coordinating deliveries and pickups and maintaining purchase records and inventory logs
  • assist bookstore volunteers with day-to-day needs including supplying materials and supporting basic resale operations
  • serve as the library district's point of contact for bulk mail coordinating bulk mail processes maintaining bulk mail accounts ensuring compliance with USPS requirements and coordinating with Technical Services and CSU Extension
  • support all library mailers by preparing materials coordinating printing and assembly and tracking and scheduling mailing timelines
  • maintain departmental calendars schedule meetings and community events coordinate room reservations and ensure logistics for internal and external gatherings
  • process purchase requests track invoices and expense documentation and support basic budget tracking for operational lines
  • maintain and update contact lists for community partners volunteers and vendors and assist with distribution and list hygiene tasks
  • serve as first point of contact for community inquiries routed to Community Relations triage and forward requests to appropriate staff
  • provide event logistical support including setup coordination volunteer check-in assistance and post-event inventory reconciliation
  • support special projects and operational tasks as assigned by Development Specialists or Community Relations leads
  • coordinate All Pueblo Grows activities with CSU Extension and Technical Services department
