Job Requirements

  • 3+ years of experience in meeting/event planning
  • proficiency in Cvent
  • strong command of Microsoft Office Suite
  • Adobe Creative Suite preferred
  • expertise in budget management, vendor negotiations, and on-site event execution
  • strong communication and stakeholder management skills
  • exceptional attention to detail and organizational skills
  • ability to manage multiple priorities in a fast-paced environment
  • flexibility to travel and work extended hours
  • willingness to work hybrid from Palm Beach Gardens, Florida
  • availability during standard working hours from 8:30 AM to 5:30 PM Eastern Time with an hour break

Job Qualifications

  • 3+ years of experience in meeting/event planning, ideally in healthcare, life sciences, or commercial education
  • proficiency in Cvent and strong command of Microsoft Office Suite
  • Adobe Creative Suite preferred
  • demonstrated expertise in budget management, vendor negotiations, and on-site event execution
  • strong communication and stakeholder management skills, with the ability to lead planning calls and provide strategic recommendations
  • exceptional attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment
  • flexibility to travel and work extended hours during live event days

Job Duties

  • Act as the main point of contact for your client and ensure all milestones, objectives, and deliverables are clearly communicated and met
  • develop planning call agendas, schedule and lead planning calls with internal teams and stakeholders
  • build and maintain strong relationships with preferred suppliers to secure the best services and pricing
  • collaborate with cross-functional teams to ensure smooth coordination across all phases of the event lifecycle
  • create Cvent websites and manage registration, communications, and surveys and provide updates in real time
  • oversee all logistical elements including venue sourcing, travel, catering, audiovisual production, staging, and transportation
  • develop, monitor, and reconcile event budgets to maintain accuracy, transparency, and accountability
  • identify cost-saving opportunities while maintaining high-quality event delivery standards
  • provide hands-on leadership during live programs, managing all aspects of on-site execution
  • uphold company and industry compliance standards, ensuring all activities meet corporate, legal, and ethical guidelines
  • maintain professionalism, attention to detail, and consistent representation of the brand at all times
