Job Requirements

  • Bachelor's degree or equivalent experience
  • 3+ years of experience in meeting or event planning
  • Proficiency in Cvent and Microsoft Office Suite
  • Strong budget management experience
  • Excellent communication and stakeholder management skills
  • Ability to manage multiple priorities and work under pressure
  • Flexibility to travel and work extended hours as needed
  • Based in Palm Beach Gardens, Florida for hybrid role
  • Ability to work 8:30 AM - 5:30 PM ET with an hour break

Job Qualifications

  • 3+ years of experience in meeting or event planning ideally in healthcare, life sciences, or commercial education
  • Proficiency in Cvent and strong command of Microsoft Office Suite
  • Adobe Creative Suite preferred
  • Demonstrated expertise in budget management, vendor negotiations, and on-site event execution
  • Strong communication and stakeholder management skills with the ability to lead planning calls and provide strategic recommendations
  • Exceptional attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment
  • Flexibility to travel and work extended hours during live event days

Job Duties

  • Act as the main point of contact for clients and ensure all milestones, objectives, and deliverables are met
  • Develop planning call agendas and lead planning calls with internal teams and stakeholders
  • Build and maintain strong relationships with preferred suppliers to secure the best services and pricing
  • Collaborate with cross-functional teams to coordinate all event phases
  • Create Cvent websites and manage registration, communications, and surveys with real-time updates
  • Oversee logistical elements including venue sourcing, travel, catering, audiovisual production, staging, and transportation
  • Develop, monitor, and reconcile event budgets while identifying cost-saving opportunities
  • Provide hands-on leadership during live programs managing on-site execution
  • Uphold company and industry compliance standards and maintain professionalism and brand representation at all times
