Job Requirements
- Bachelor's degree or equivalent experience
- 3+ years of experience in meeting or event planning
- Proficiency in Cvent and Microsoft Office Suite
- Strong budget management experience
- Excellent communication and stakeholder management skills
- Ability to manage multiple priorities and work under pressure
- Flexibility to travel and work extended hours as needed
- Based in Palm Beach Gardens, Florida for hybrid role
- Ability to work 8:30 AM - 5:30 PM ET with an hour break
Job Qualifications
- 3+ years of experience in meeting or event planning ideally in healthcare, life sciences, or commercial education
- Proficiency in Cvent and strong command of Microsoft Office Suite
- Adobe Creative Suite preferred
- Demonstrated expertise in budget management, vendor negotiations, and on-site event execution
- Strong communication and stakeholder management skills with the ability to lead planning calls and provide strategic recommendations
- Exceptional attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment
- Flexibility to travel and work extended hours during live event days
Job Duties
- Act as the main point of contact for clients and ensure all milestones, objectives, and deliverables are met
- Develop planning call agendas and lead planning calls with internal teams and stakeholders
- Build and maintain strong relationships with preferred suppliers to secure the best services and pricing
- Collaborate with cross-functional teams to coordinate all event phases
- Create Cvent websites and manage registration, communications, and surveys with real-time updates
- Oversee logistical elements including venue sourcing, travel, catering, audiovisual production, staging, and transportation
- Develop, monitor, and reconcile event budgets while identifying cost-saving opportunities
- Provide hands-on leadership during live programs managing on-site execution
- Uphold company and industry compliance standards and maintain professionalism and brand representation at all times
