Job Requirements

  • Completion of a high school or general equivalency diploma
  • At least one year of general clerical work experience involving customer service
  • Completion of Feeding Program training as required by Gracedale Nursing Home
  • Ability to use standard office equipment and computer software including Microsoft Office
  • Ability to handle confidential information in compliance with HIPAA
  • Physical ability to lift and move boxes up to 25 pounds
  • Ability to perform routine COVID-19 visitor screening duties as directed
  • Strong communication and interpersonal skills
  • Ability to maintain an orderly filing system and manage multiple tasks
  • Ability to communicate clearly in English

Job Qualifications

  • High school diploma or general equivalency diploma
  • At least one year of general clerical work experience with high level customer service
  • Basic knowledge of clerical practices and office procedures
  • Proficiency in Microsoft Office applications
  • Excellent communication skills verbal and written
  • Strong interpersonal skills to relate effectively with a diverse clientele
  • Ability to manage time, prioritize tasks, and multitask effectively
  • Ability to maintain confidentiality and discretion
  • Familiarity with office equipment and software
  • Ability to perform basic math calculations
  • Ability to maintain composure and tact in sensitive situations
  • Ability to communicate effectively in English

Job Duties

  • Greet guests at the reception desk in a professional and friendly manner
  • Answer routine questions from employees, residents, and visitors or direct to appropriate staff
  • Provide exceptional customer service via telephone, email, or in person
  • Manage the phone system and incoming call flow, including voicemail
  • Receive, sort, and distribute facility and resident mail according to policies
  • Post all outgoing facility mail
  • Accept over-the-counter cash receipts and provide receipts for payments
  • Operate the Resident Bank during posted hours
  • Make public announcements over the intercom system
  • Maintain active and archived resident filing systems, ensuring files are complete and orderly
  • Perform clerical support duties for the Business Office, including data entry, report preparation, mass mailings, copying, faxing, and digitizing
  • Adhere to Resident Rights and HIPAA regulations regarding confidentiality
  • Perform routine COVID-19 visitor screenings, including disinfecting areas and taking temperature readings as directed
