Job Requirements

  • Completed twelfth grade level of school
  • prior experience in secretary or receptionist role
  • ability to maintain confidentiality and respect authority
  • good communication skills
  • ability to work under pressure
  • willingness to accept constructive criticism
  • competency in office clerical duties including phone handling and record keeping
  • basic knowledge of medical terminology and insurance procedures preferred.

Job Duties

  • Coordinates and schedules patients' appointments
  • maintains all aspects of patient medical records, including scheduling 30-day re-evaluations and re-certifications for Medicare
  • records daily patient charges and assists with deposit
  • tracks and collects patient deductibles and copayments
  • performs general receptionist/secretarial duties such as answering phone, taking phone messages, filing
  • processes all dictation, copies and forwards to referring doctor including Medicare recerts
  • performs any other duties as assigned by the office manager or clinical director
  • answers phone promptly and courteously stating company name and who is speaking
  • offers to take messages for unavailable staff
  • schedules new patients' appointments within 24-48 hours
  • obtains and logs detailed patient information including insurance verification and pre-authorization
  • greets and checks in patients providing necessary forms and verifying information
  • prepares patient charts and charge tickets
  • notifies office personnel when patients are ready for treatment
  • handles patient check-out by discussing accounts, setting up payment schedules and collecting co-payments
  • schedules patients on a weekly/daily basis accommodating work schedules and physician visits.
