Job Requirements

  • high school diploma or equivalent
  • experience in event coordination or planning preferred
  • ability to work flexible hours including early mornings, late nights, and weekends
  • physical ability to load and unload supplies up to 30 lbs
  • strong organizational skills

  • proficiency with Google Workspace tools

Job Duties

  • manage and plan community event sponsorships from start to finish
  • develop and maintain partnerships with area sponsors, vendors, and community members
  • oversee setup, execution, and teardown for company and community events
  • prepare and distribute detailed event agendas with timelines and key tasks
  • create and distribute event checklists to teams ahead of event launch dates
  • design, plan, and execute functional, on-brand event layouts
  • review and complete event checklists, updating details as plans evolve
  • ensure every event meets or exceeds leadership’s objectives and attendance goals
  • manage RSVPs and attendance counts, providing consistent updates to leadership
  • communicate clearly with setup and takedown teams to ensure smooth transitions
  • define and communicate roles for all internal and external helpers during events
  • book, coordinate, and confirm vendors managing arrivals, departures, and day-of needs
  • keep event materials and swag organized and inventoried
  • print, trim, assemble, sort, and deliver materials and displays
  • load and unload event supplies and equipment up to 30 lbs
  • be a positive and uplifting presence adding energy and heart to every project
