Job Requirements
- Previous experience in catering and event planning of at least 3 years
- ability to work flexible schedules including weekends and holidays
- professional and mature appearance
- excellent communication skills
- highly organized and detail oriented
- strong interpersonal skills
- proficiency with CRM and sales software
- ability to learn new software quickly
- physical ability to perform job tasks requiring standing, walking, reaching, lifting up to 30 lbs, balancing, stooping, twisting, kneeling, and climbing
- ability to work in varying environmental conditions including exposure to heat, cold, chemicals, noise, and outdoor settings
- willingness to work extended hours during peak seasons
Job Qualifications
- Previous experience in catering and event planning (minimum 3 years)
- proven track record of planning and executing weddings and banquets
- professional appearance with pleasant and mature demeanor
- excellent written and oral communication skills
- highly organized, efficient, and detail oriented
- excellent interpersonal and relationship skills
- proficiency in CRM and sales automation systems (e.g., TripleSeat)
- ability to learn and work with new software programs and platforms (Jonas, UKG)
- proficient in Microsoft Word, Excel, Outlook, and PowerPoint
Job Duties
- Respond to member inquiries in a timely manner
- conduct tours and meetings for prospective events
- sell events
- schedule all banquet event functions
- price and prepare event proposals
- collect signed contracts and deposits
- plan and coordinate details of catered events including specifications, quantities, manpower levels, personnel assignments, space scheduling, and menu communication
- develop, implement, and monitor standards of service
- coordinate catering activities to maintain high quality production and service
- assist members and club management with special event planning including menus, entertainment, themes, and decorations
- utilize TripleSeat daily to manage events prospect database, track communications and sales
- oversee contract development and preparation
- recommend refinements for floral arrangements, table settings, and room appointments
- collaborate with Director of Food and Beverage and Executive Chef to determine selling prices and menus
- communicate event information to support staff
- ensure smooth event execution through inspections and coordination
- arrange setup, service, and cleanup of event spaces
- regularly evaluate services and recommend quality upgrades
- assist in developing catering sales budgets and marketing plans
- perform other duties as assigned by supervisor or manager
