Job Requirements

  • Ability to stand or walk for extended periods
  • ability to lift up to 25 pounds
  • work performed on-site in an active museum environment with varying noise and activity levels

Job Qualifications

  • Three plus years in event coordination, catering, hospitality, or venue management
  • proven track record in vendor management and executing complex event logistics
  • exceptional organization, multitasking, and professional written and verbal communication skills
  • proficiency in CRM and event management software
  • ability to create basic floor plans
  • flexible schedule including evenings, weekends, and holidays
  • preferred experience in museums, galleries, or historic venues

Job Duties

  • Manage event timelines, event orders, floor plans, and tastings
  • lead all vendor relationships, including florists, musicians, photographers, and equipment providers
  • supervise setup, service, and breakdown
  • troubleshoot and resolve issues in real time
  • enforce museum security, conservation guidelines, and event restrictions
  • direct event staff and external vendors during active functions
  • maintain accurate records, including contracts, invoices, and event documentation
  • partner with the Director of Events and Catering Director for on-site support, sales efforts, and upselling
