Job Requirements
- Prior administrative experience, preferably in a luxury hotel or resort
- ability to handle a large volume of telephone calls in an efficient and courteous manner
- strong time management skills including multitasking, setting priorities, and adapting to changing conditions
- willingness to work in a fast-paced environment
- ability to operate computer equipment necessary to perform the job
- knowledge of Microsoft Office Suite, Delphi, Opera, and Salesforce preferred
- US work authorization required

Job Duties
- Receive and respond to incoming telephone calls in accordance with Four Seasons standards
- prepare accurate written correspondence including letters, contracts, proposals, reports, banquet event orders (BEO), schedule of events, printed menus, and emails
- maintain information systems including menu input, average check update, BEO, merge document templates, assigning inquiries in different platforms
- run and distribute daily, weekly, and monthly reports as required by the Catering & Conference Services team
- support managers by coordinating site inspections, menu tastings, and internal communication with operational departments
- assist clients in the absence of a Catering or Conference Services Manager, providing prompt, professional, and solution-oriented service
- ensure event spaces and collateral are presentation-ready, reflecting luxury brand standards
