Job Requirements

  • Prior administrative experience, preferably in a luxury hotel or resort
  • ability to handle a large volume of telephone calls in an efficient and courteous manner
  • strong time management skills including multitasking, setting priorities, and adapting to changing conditions
  • willingness to work in a fast-paced environment
  • ability to operate computer equipment necessary to perform the job
  • knowledge of Microsoft Office Suite, Delphi, Opera, and Salesforce preferred
  • US work authorization required

Job Duties

  • Receive and respond to incoming telephone calls in accordance with Four Seasons standards
  • prepare accurate written correspondence including letters, contracts, proposals, reports, banquet event orders (BEO), schedule of events, printed menus, and emails
  • maintain information systems including menu input, average check update, BEO, merge document templates, assigning inquiries in different platforms
  • run and distribute daily, weekly, and monthly reports as required by the Catering & Conference Services team
  • support managers by coordinating site inspections, menu tastings, and internal communication with operational departments
  • assist clients in the absence of a Catering or Conference Services Manager, providing prompt, professional, and solution-oriented service
  • ensure event spaces and collateral are presentation-ready, reflecting luxury brand standards
