Job Qualifications
- Bachelor's degree or equivalent training
- Two years of recent administrative work experience involving policy or procedure development or improvement
- Demonstrated competency in budget analysis
- General knowledge of financial, budgetary, and accounting principles
- Working knowledge of query tools and integrated financial systems
- Ability to interpret and apply university policies and procedures
- Skills in data analysis, business mathematics, and statistical techniques
- Strong organizational and project management skills
- Ability to make independent decisions and sound judgments
- Effective written and verbal communication skills
- Demonstrated customer service experience with diplomacy and professionalism
- Capacity to maintain confidentiality and work with diverse populations
- Competency in Microsoft Office applications and financial software

Job Duties
- Serve as the primary contact for day-to-day budget and accounting operations for the department's approximately $12M annual budget
- Perform routine and moderately complex fiscal analysis including reviewing budget-to-actual performance and recommending corrective actions
- Monitor rollover funds, revenues, and expenditures across assigned accounts and forecast financial impacts
- Prepare quarterly budget reports, year-end schedules, and supporting documentation
- Reconcile financial reports and ledgers regularly and maintain audit-ready financial records
- Process departmental billing and financial transactions including direct pays, requisitions, and revenue deposits
- Monitor accounts payable and receivable activity and resolve processing issues
- Track work orders through completion and verify chargebacks for accuracy
- Prepare, maintain, and track purchase orders and perform ProCard administration including monthly reconciliation
- Collaborate with campus accounting and budget teams on updates and compliance
- Participate in financial and staff meetings and serve as the primary contact during audits
- Provide administrative and business services support including payroll auditing, procurement coordination, and personnel paperwork
- Oversee timekeeping and payroll processes by auditing time reports and ensuring payroll certification
- Manage office equipment and supplies procurement
- Act as campus process liaison to explain procedures and escalate issues
- Serve as backup for Facility and Member Services Coordinator including customer service and event support
- Prepare departmental travel authorizations and claims
- Assist in developing training manuals and monitor staff training compliance
- Maintain secure departmental filing systems and coordinate weekly staff meetings
- Support departmental projects such as membership reporting and software updates
- Assist with recruitment, onboarding, training, and recognition of student employees
- Support delivery and monitoring of student training programs and update materials
- Evaluate training program effectiveness and recommend improvements
- Provide direct oversight of the Business Operations Student Manager
- Ensure student staff eligibility and process separation paperwork.
