Job Requirements
- Proven experience in event coordination and budget management
- Bachelor's degree in event management, hospitality, marketing, communications, or related field, or equivalent experience
- Proficiency with technology including Google Suite, Microsoft Office, Canva, and basic AV equipment
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Detail-oriented with ability to adhere to budgets

Job Qualifications

Job Duties
- Coordinate and oversee the school calendar and event scheduling with a collaborative approach
- Lead the school’s calendar committee including administrative and departmental representatives
- Administer and provide training on the event management and work order system (FMX)
- Develop and manage comprehensive event plans including budgets and logistics
- Partner with stakeholders to plan and execute major school and all-school events
- Ensure risk management and safety protocols compliance in coordination with CFO and Director of Safety
- Design and implement procedures to streamline event planning and attendee experience
- Coordinate with departments for resources and provide basic AV support
- Manage event setup, breakdown, and restoration activities
- Conduct post-event evaluations and documentation
- Serve as primary liaison for vendors and internal and external event stakeholders
- Coordinate academic calendar dates, event logistics, guest lists, and associated event elements
- Communicate details and requirements to relevant parties
- Provide guidance and support to event volunteers and staff
- Proactively identify and solve operational challenges
- Ensure brand consistency in partnership with marketing
- Manage non-athletic outside facility usage rentals, insurance, and compliance
- Track and organize insurance certificates for vendors
- Stay updated on event management industry trends and best practices
- Perform other assigned duties as required
