Job Requirements

  • High school diploma or equivalent
  • Minimum of two years experience in administrative or business support role
  • Strong customer service orientation
  • Ability to handle multiple tasks and meet deadlines
  • Excellent communication skills both verbal and written
  • Proficient with standard office software and technology
  • Ability to maintain confidentiality
  • Strong organizational skills and attention to detail
  • Capable of working with diverse groups internally and externally
  • Willingness to work overtime as required
  • Ability to work in a collaborative and ambiguous environment

Job Qualifications

  • Proven experience in administrative or business support roles
  • Excellent customer service and interpersonal skills
  • Strong editing and communication skills
  • Ability to maintain confidentiality of sensitive information
  • Proficiency with office technology and software applications
  • Ability to prioritize and manage multiple incoming requests effectively
  • Strong organizational and planning abilities
  • Ability to work collaboratively in a team environment
  • Knowledge of Records and Information Management (RIM) practices is preferred
  • Demonstrated integrity and strong work ethic
  • Experience with travel arrangement and expense reporting is an advantage

Job Duties

  • Greet and welcome guests at the front entry, providing a positive first impression
  • Assist guests with sign-in procedures and ensure a smooth process
  • Answer incoming calls, direct calls to appropriate personnel, or take and relay messages as needed
  • Anticipate the needs of employees and visitors and create and implement efficient and effective processes
  • Always display a friendly, caring attitude and treat employees, visitors, and Members with respect and dignity
  • Promptly respond and deliver on service and support requests submitted via the [email protected] account
  • Provide backup as necessary to retrieve, sort, stamp, and deliver mail every weekday no later than 11:00 a.m.
  • Deliver all outgoing mail to the basement mailbox by 3:00 p.m.
  • Keep informed of regular, special, and other meetings, training, and scheduled visitors and aid with necessary arrangements
  • Prepare conference rooms for meetings, supply coffee, water, catering arrangements, or any other requests
  • Maintain and stock supplies in all workrooms, conference rooms, and kitchens, and coordinate when supply purchases or delivery of supplies is needed
  • Troubleshoot office machine issues and escalate to the Manager of Business Support Services if necessary
  • Serve as a member of the Employee Event Committee
  • Provide backup assistance for other business support specialists, including coordinating time off
  • Champion processes, procedures, and use of technology through change leadership and clear communications
  • Work with the Business Support Services Team to facilitate adherence to business guidelines and communicate changes in business practices
  • Provide support for the RIM function and management of the department's records
  • Maintain a high level of working knowledge regarding RIM retention and practices
  • Assist employees with travel arrangements and expense reports as requested
  • Perform other duties as assigned
