Job Requirements

  • Bachelor's degree or equivalent in marketing, communications, or related field
  • Minimum 3 years of experience in event management and graphic design
  • Proven project coordination experience
  • Demonstrated ability to manage budgets and timelines
  • Strong organizational and detail orientation
  • Negotiation skills
  • Ability to solve problems and make decisions
  • Ability to multitask in fast-paced environment
  • Strong interpersonal skills
  • Availability for non-traditional work hours including nights and weekends

Job Qualifications

  • Bachelor's degree or equivalent in marketing, communications, or related field
  • 3+ years of experience in event management and graphic design
  • Proven experience coordinating internal and external projects and partners
  • Track record of staying on time and on budget
  • Highly organized and detail oriented
  • Strong negotiating and budget management skills
  • Ability to think through problems, make inclusive decisions and lead others
  • Ability to prioritize and multitask in fast-paced environment
  • Ability to work independently and as part of a team
  • Excellent relationship management and interpersonal skills
  • Ability to work non-traditional hours including evenings and weekends
  • Familiarity with 501(c)(3) regulations a plus

Job Duties

  • Collaborate across all departments to manage the event portfolio including nonprofit partner events, meet and greets, training, community events, fundraising events, volunteer events, leadership giving dinners, lunch and learns, staff events, sponsor booths, and additional special events
  • Lead development of high-level content planning for events, working closely with planning teams to establish the right experience and messaging
  • Facilitate meetings with project teams to gather information to build experiences, messaging platform, tone, themes and run-of-show
  • Actively contribute to overarching content planning efforts with the extended marketing and communications team
  • Manage the event calendar including internal and external communications
  • Negotiate with venues, vendors, and speakers to secure rates and manage event execution
  • Develop budgets and oversee financial reporting for each event
  • Organize sponsor requirements and provide fundraising team with necessary tools
  • Ensure marketing tactics are executed on time per sponsorship agreements
  • Produce event content such as save the dates, RSVPs, promotional items, and signage
  • Lead pre-event planning meetings and post-event evaluations
  • Manage internal event systems and tools to track engagement and attendance
  • Lead logistical event setup and teardown providing direction to staff and volunteers
  • Adjust quickly to changing priorities and solve problems effectively
  • Balance short-term event deliverables with long-term strategic goals
  • Serve as brand champion to evolve the expression and build excitement around the UWGC brand
  • Adapt brand elements to foster greater affinity with donors, partners, and external agencies
  • Fulfill project requests from concept to completion including design, production, and coordination
  • Ensure brand identity and messaging are infused in all organizational efforts
  • Guide brand integrity efforts across marketing and communications channels
  • Influence brand strategy from development through execution
