The role of Party Coordinator at Spare Time Recreation Centers is essential in delivering top-notch birthday party experiences. This position involves assisting the Event Planner with various tasks such as making confirmation calls, scheduling staff, mapping out party lanes, and enhancing party packages. The Party Coordinator is responsible for overseeing party staff, ensuring smooth event execution, and maintaining constant communication with party guests to address any issues proactively. The role demands a hands-on approach in preparing party areas, greeting guests, coordinating activities, and ensuring timely delivery of food and beverages. The Party Coordinator also supervises the Party Patrol team during bowling, gaming, and other activities to maintain safety and enjoyment throughout the party.

In addition to managing the party experience, the Party Coordinator contributes to training new and existing team members, assists with order management at the front desk, collects payments, and aids in event breakdown and cleanup for efficient turnover. This full-time position requires a candidate with excellent guest service experience, good organizational skills, and a friendly demeanor. The ability to work with large groups and children in a lively, sometimes loud environment with lighting effects is crucial. Physical stamina is also necessary as the job involves standing for long periods and lifting up to 50 pounds.

Job Requirements

High school diploma or equivalent preferred
Minimum 2 years of guest service experience
Ability to stand and walk for extended periods
Ability to lift up to 50 pounds
Willingness to work in a loud environment with lighting effects
Comfortable working with children and large crowds
Availability to work flexible hours including evenings and weekends

Job Duties

Assist Event Planner with birthday party planning including making confirmation calls, offering party enhancements, scheduling Party Patrol team, mapping out party lanes
Plan and conduct training for new teammates and continued education for the veteran team
Provide supervision and support to the party staff to ensure efficient event execution
Meet with each party parent during the event to proactively make changes as necessary to correct potential issues
Aid in preparing party area and tables with required party supplies
Greet guests and escort them to the party area
Assist with the coordination of party activities times with guests and teammates within each department
Oversee the party patrol during the party bowling experience by securing shoes, teaching safety on the lanes, delivering instructions, managing the group, and collecting shoes back
Oversee the party patrol during the party gaming experience in arcade, laser tag, and/or escape room where applicable
Place food and beverage orders into the kitchen via paper order form or register
Ensure food and beverage orders are delivered in a timely manner and aid in delivery to party area
Assist with dessert and encourage singing
Aid in event breakdown and clean up for faster area turnover
Assist front desk team with managing the birthday tab on the register
Collect birthday payments through the register and confirm deposits have been applied
Gather all required paperwork for shifts
Interact professionally using Spare Time Service Standards Code S.E.R.V.E.
Perform other duties as assigned
