Job Requirements
- High school diploma or equivalent
- Bilingual in English and Spanish
- 1-2 years of relevant administrative experience preferred
- Proficiency in office software and computer equipment
- Excellent communication skills both verbal and written
- Ability to work in a fast-paced, dynamic office environment
- Ability to maintain confidentiality and handle sensitive information
- Strong organizational and multitasking skills
- Ability to follow instructions and work under management supervision
- Positive attitude and professionalism
Job Qualifications

Job Duties
- Answer phones and route to appropriate staff
- Transfer incoming and outgoing calls to and from answering service daily
- Manage daily incoming mail and dispatch to relevant staff
- Handle all outgoing mail including documents requiring physician signature
- Develop and maintain an accurate employee phone roster
- Process documents requiring physician signature by copying, mailing, faxing, and tracking returns
- Fax discharge summaries, transfer summaries, case conference summaries, and missed visit reports to physicians
- Date-stamp all faxed and incoming signed documents and route to appropriate personnel for data entry
- Prepare office supply orders with department of service approval and verify supply receipts
- Maintain agency forms, prepare job application and personnel file packets, and admission packets
- File and manage patient documentation ensuring originals replace copies
- Thin and break down patient charts as needed
- Type meeting minutes and memos for management
