Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or administrative role preferred
  • Bilingual proficiency
  • Ability to operate a multi-line phone system
  • Strong interpersonal skills
  • Good organizational and time management skills
  • Ability to handle confidential information appropriately
  • Comfortable working in an office environment
  • Available to work Monday through Friday, 9:00 AM to 6:00 PM

Job Duties

  • Greet all customers and direct them to their correct destination
  • Answer a multi-line switchboard, screen, and direct calls
  • Take and relay messages to the appropriate personnel
  • Refill coffee areas with supplies
  • Maintain whiteboard with customer names
  • Deal with queries from the public and customers
  • Ensure knowledge of staff movements in and out organization
  • Prepare daily correspondence, stamp, and make sure mail gets sent out
  • Receive mail and deliveries
  • Monitor and maintain office equipment in the mail room
  • Control inventory relevant to the reception area
  • Prepare all overnights
  • Process all body, accessory, and transport invoices to be approved
  • Assist the inventory manager and fleet administrator with any additional items as needed
  • Label all wheel locks with the correct VIN numbers
  • Create a folder for new vehicles including key tags, lemon law, board tab, and work order
  • Log in all plates and give them to sales associates
  • Log each sale call and walk in on the spreadsheet
  • Assist the Accounting Department as necessary
  • Work Monday-Friday 9:00 to 6:00
