Job Requirements

  • High school diploma or equivalent
  • excellent verbal communication skills
  • excellent interpersonal and customer service skills
  • excellent organizational skills and attention to detail
  • basic understanding of administrative and clerical procedures and systems
  • proficiency with Microsoft Office Suite or related software
  • bilingual in English and Spanish a plus

Job Duties

  • Greet clients, visitors, and guests
  • determine the purpose of each person’s visit and direct or escort to the appropriate location
  • answer, screen, and direct phone calls to staff
  • take messages and schedule appointments
  • receive mail, documents, packages, and courier deliveries and distribute items
  • perform administrative and clerical support tasks
  • perform basic filing and recordkeeping
  • post the daily schedule for MAS production
  • issue purchase orders for materials and supplies
  • review and assemble billing packets
  • research vendors and collect prices, specifications, and other data related to goods and services
  • invoice materials and supplies
  • prepare, post, verify, and record customer payments and transactions related to accounts receivable
  • create and submit invoices according to company practices
  • perform other duties as assigned
