Job Requirements

- 3+ years' receptionist/clerical experience
- excellent communication skills

Job Duties
- Input data into UKG, including scheduling, schedule changes, and missed punches
- attend to manager's Outlook calendar and keep it up to date
- input vendor invoices into Docuphase and track all monthly expenses
- attend pre-convention meetings to represent the department and implement any necessary operational changes
- contact guests as required to provide manager contact information, inquire about requirements, and respond to inquiries
- answer all incoming calls, forward department phones, and handle messages
- open and distribute daily incoming mail
- manage all office supply ordering for the Banquet department
- assist with department filing needs
- assist with any departmental special projects as necessary
- participate in special events including Concours d'Elegance, AT&T Pro-Am, Pebble Beach Food & Wine, and U.S. Open
- assist in analyzing and finalizing payroll records at the end of each pay period
- receive and organize batched BEO reports and daily event reports, inspect revisions, and report relevant information to the Banquet Chef and Banquet Manager
- create buffet menu tags when necessary for large and small events
- comply with all Pebble Beach Company safety and health policies and procedures
