Job Requirements

  • High school diploma or equivalent
  • Previous experience in a front desk or administrative role
  • Proficiency with All data system and Clover
  • Ability to manage multi-line phone systems
  • Strong organizational and multitasking abilities
  • Basic bookkeeping knowledge preferred
  • Excellent communication skills
  • Ability to work 40 hours per week
  • Willingness to work overtime when necessary

Job Qualifications

  • Proven experience in front desk or office management roles within an automotive or service environment
  • Strong computer skills including proficiency with Microsoft Office Suite, Google Workspace, data entry, and general computer literacy
  • Excellent phone etiquette with experience managing multi-line phone systems in a fast-paced setting
  • Bilingual abilities are highly preferred to serve diverse customer needs effectively
  • Demonstrated organizational skills with the ability to multitask, prioritize, and manage time effectively
  • Clerical experience including filing, proofreading, calendar management, and document handling
  • Customer service background with a focus on delivering positive support experiences
  • Personal assistant or administrative experience is a plus for handling varied responsibilities efficiently

Job Duties

  • Greet customers warmly upon arrival and handle all front desk interactions with professionalism and enthusiasm
  • Manage multi-line phone systems to answer inquiries, schedule appointments, and direct calls efficiently
  • Maintain accurate appointment calendars using office management software and Google Workspace tools
  • Process customer check-ins and check-outs, ensuring all necessary documentation is complete and accurate
  • Support office operations through data entry, filing, proofreading, and maintaining organized records
  • Provide excellent customer support by addressing questions, providing information about services, and following up as needed
  • Assist with basic bookkeeping tasks using QuickBooks and handle billing or invoicing processes
  • Coordinate with technicians and support staff to ensure timely communication and workflow efficiency
