Job Requirements

  • Bachelor's degree in marketing, communications, business administration, event planning, or hospitality or a related field
  • 5+ years of experience in event planning, preferably within financial services
  • Proficiency with Microsoft Office Suite, Zoom Meeting, and Cvent software
  • Strong project management skills with ability to handle multiple tasks and meet tight deadlines
  • Excellent budgeting skills and financial reconciliation experience
  • Excellent verbal and written communication skills
  • Highly detail-oriented with commitment to high-quality results
  • Ability to work under tight deadlines
  • Willingness to travel to El Segundo office at least three days a week
  • Based in Southern California area

Job Duties

  • Source and evaluate venues for hosted events, balancing quality with budget considerations
  • Track the delivery of conference materials and shipments, proactively addressing and resolving any logistical delays
  • Manage swag inventory across multiple regions, including placing regular orders and sourcing new items as needed
  • Prepare and reconcile event estimates, budgets, and post-event actuals
  • Manage expense reporting and coordinate conference invoice submissions
  • Manage the onboarding of new vendors to ensure smooth procurement
  • Oversee the ordering and coordination of swag, marketing materials, and other event-related collateral
  • Collaborate with cross-functional teams to align on budgets, timelines, and event deliverables
  • Maintain accurate records of event assets, inventory performance, and vendor relationships
  • Contribute to the continuous improvement of event management processes and workflows
