Job Qualifications

  • Preferred - high school diploma or equivalent or combination of education and experience
  • Required - must complete Child Abuse Prevention training prior to starting and have or obtain CPR certification within first 60 days of employment
  • Required - successful experience in public relations, reception, sales or customer service
  • Required - open, friendly personality with strong interpersonal skills
  • Required - basic math and computer skills

Job Duties

  • Provide a quality experience for everyone who accesses or contacts the Y
  • train staff on proper procedure and quality member experience
  • manage the Welcome Center staff and schedule, finding coverage for shifts and filling in as necessary
  • maintain regular front desk coverage and assist with additional duties during periods of high demand
  • resolve member issues and communicate issues to the director
  • communicate with Director regarding any staff and member concerns
  • greet and act professionally toward all members, prospective members, program participants, staff and volunteers when entering and exiting the building
  • learn members' names and use them frequently, establish and maintain a working relationship with all members on a one-to-one basis
  • introduce members to other members and staff, involve members in other YMCA activities and volunteer opportunities
  • promote the YMCA mission and cause in all interactions
  • discuss and communicate all member issues with the Director and assist with member conduct meetings as needed
  • set expectations with staff on how to clearly communicate facility issues and emergencies, looping in the Director and CEO
  • step in when the Director is unavailable
  • use Listen First skills effectively giving member focused tours
  • give tours to prospective members
  • update the YMCA Scheduling App
  • create and post signage for class and facility closures
  • enroll members of all types, set up payments, assist with membership changes, add units in Daxko, perform background checks
  • maintain online portal for membership change requests including upgrading/downgrading memberships, holds, and cancels
  • audit member accounts, membership types and locker rental programs monthly
  • perform complex actions on member accounts including upgrades/downgrades, scheduling payments, adding fees and adjustments, merging and reactivating memberships
  • access schedule information, enter program registrations, make payments on accounts including discount adjustments
  • provide financial assistance information, review financial assistance applications for completeness, set up financial assistance memberships, maintain records of approved and pending applications, create childcare tax statements as needed
  • conduct close outs and drops, balance and report daily monies of shift
  • do insurance billing
  • lead Welcome Center team staff meetings with the support of the Director
  • provide program registration and information, enroll new members, admit national and away members
  • prepare and send Accounts Receivable and Collection Prevention correspondence as directed
  • lead training of Welcome Center staff with support of the Director
  • answer and direct phone calls, use paging system
  • use other computer programs used by the Y such as Playerspace, Facility Dude, and Insurance portals
  • maintain communication with members who have expiring billing methods, discount groups or age change restrictions
  • respond to concerns of members and others and direct them to appropriate persons
  • attend staff meetings and trainings as scheduled
  • assist other staff in emergencies and incident reporting
  • communicate YMCA goals, program offerings and events to members, participants and potential members
  • create the work schedule, report to work on time or find an approved substitute, complete timesheet daily
  • complete required child sexual abuse prevention training, comply as mandatory reporter of suspected child abuse and cooperate with investigations
  • offer support to other departments, programs or events as needed
  • follow Praesidium policies and hold staff accountable
  • perform other duties as assigned
