The Office of Events and Conference Services (ECS) is a vital part of the university, dedicated to coordinating and supporting a wide variety of comprehensive programs that complement the institution's mission. ECS serves a diverse community including students, faculty, staff, alumni, local community members, external visitors, conference guests, and business partners. Job Requirements

  • Bachelor’s degree
  • two years of relevant event planning and hospitality experience
  • knowledge of student unions, conference services, campus activities, or meeting planning
  • proficiency with event management software
  • proficiency in Microsoft Office
  • ability to learn university scheduling software
  • ability to manage social media platforms
  • excellent organizational and communication skills
  • ability to handle multiple priorities
  • discretion with confidential information
  • ability to work in a collaborative team environment

Job Qualifications

  • two years related professional experience in event planning and hospitality in a college, university, non-profit, or related environment
  • knowledge of student unions, conference services, campus activities, or meeting planning
  • familiarity with event management software

  • demonstrated desire for professional growth

Job Duties

  • Collaborate with ECS team to provide customer-focused experience for all constituents
  • schedule and participate in site visits with potential campus facility users
  • utilize established protocols, policies, and procedures to ensure high levels of service to all guests
  • establish and maintain guiding documents for event planning
  • maintain positive working relationships with university service providers and refer planners to relevant resources
  • serve as a resource regarding event status
  • participate in regular meetings to meet facility user needs
  • collaborate with staff to capture event client needs
  • establish and maintain relationships with external vendors and service providers
  • develop and maintain preferred vendor lists
  • ensure compliance with safety, insurance, and university policies
  • consult on contract negotiation, review, and execution
  • manage event logistics from initial contact through event completion
  • utilize designated software for conference records and scheduling
  • deliver support services to external conference groups
  • maintain records and prepare reports
  • hire, supervise, and train departmental student staff
  • manage summer conference-specific duties such as bed linen operations
  • maintain social media and marketing presence
  • attend meetings and serve on committees
  • handle confidential materials with discretion
  • channel concerns to appropriate staff
