Job Requirements

  • 3-5 years experience in athletics or related event management

Job Qualifications

  • Bachelor's degree encouraged, preferably in Sport Management, Hospitality Management, Communications, Business, or a related field
  • 3-5 years experience in athletics, event management, donor relations, fundraising events, or hospitality
  • Proven track record of designing and executing high-impact events
  • Strong project management skills with ability to manage multiple priorities and deadlines
  • Exceptional interpersonal and communication skills
  • Experience in negotiating and managing vendor contracts and budgets
  • Proficiency with event management and outreach digital tools such as DART, Paciolan, Eloqua, Paperless Post or ability to quickly learn new systems
  • Creative mindset with ability to conceptualize unique engagement strategies
  • Ability to exercise sound judgment and discretion in high-profile settings
  • Commitment to NCAA, Big Ten, and University compliance standards
  • Willingness to work nontraditional hours including early mornings, nights, weekends, and extended days during peak times

Job Duties

  • Conceptualize and lead engaging event experiences tailored to donors and prospects
  • Draft and distribute high-level event briefing materials for Athletic Director, University President, and Head Coaches
  • Collaborate with NIL and partnership leadership to create donor engagement opportunities and secure corporate sponsorships
  • Produce compelling content for website, newsletters, and magazines to highlight event success
  • Oversee logistical phases including venue sourcing, transportation, equipment rentals, and on-site staffing
  • Negotiate contracts and manage vendor relationships ensuring legal and financial compliance
  • Utilize digital tools for invitation process, attendance tracking, ticketing, and payment processing
  • Manage guest list and digital invitation strategy
  • Oversee UMCU All-Star Lounge Experience during athletic events and concerts
  • Coordinate gameday operations and guest services for football, basketball, and ice hockey events
  • Liaise with catering partners and manage logistics for premium space experiences
  • Facilitate concert event logistics and artist meet-and-greet opportunities
  • Lead design and execution of signature events including season openers and facility milestone celebrations
  • Participate in departmental and campus events
  • Adapt duties as needed to meet evolving department needs
