Job Requirements

  • Bachelor's degree preferred in a relevant field
  • 5+ years of professional experience in fundraising, advancement operations, nonprofit administration, project management, events, retail or hospitality management, or other complex environments
  • Demonstrated experience managing workflows or projects from start to finish
  • Experience managing complex schedules, meetings, or stakeholder communications
  • Proven ability to prioritize competing demands
  • Experience drafting professional written communications
  • Experience working with databases, CRMs, or tracking systems
  • Experience supporting or working with senior leaders, volunteers, or clients
  • Experience in independent school or nonprofit environment preferred
  • Strongly preferred experience with campaign workflow
  • Frontline fundraising experience
  • Familiarity with campaign strategy and major gift fundraising
  • Exceptional project management skills
  • Strong strategic thinking and problem-solving skills
  • Strong meeting leadership skills
  • Excellent communication skills
  • Strong analytical and organizational skills

Job Qualifications

  • Bachelor's degree preferred in nonprofit management, communications, business administration, public administration, or related field
  • Equivalent professional experience considered in lieu of a degree
  • 5+ years of professional experience in fundraising, advancement operations, nonprofit administration, project management, events, retail or hospitality management, or similar environments
  • Demonstrated experience managing workflows or projects from start to finish
  • Experience managing complex schedules, meetings, or stakeholder communications, including preparing materials and capturing detailed notes
  • Proven ability to prioritize competing demands and maintain a high-level overview of work in progress
  • Experience drafting professional written communications for external audiences
  • Experience working with databases, CRMs, or tracking systems
  • Experience supporting or working with senior leaders, volunteers, or clients with discretion and professionalism
  • Experience in independent schools, higher education, or mission-driven nonprofits preferred
  • Experience working within a campaign, including prospect pipelines and moves management
  • Frontline fundraising experience, including donor cultivation and solicitation
  • Familiarity with campaign strategy and major gift fundraising models
  • Exceptional project management skills
  • Strong strategic thinking and problem-solving skills
  • Able to maintain accurate detailed records and tracking systems

Job Duties

  • Serve as primary owner of the campaign prospect pipeline, maintaining a comprehensive, accurate, and up-to-date prospect matrix and moves management system
  • Act as project manager for all campaign prospect activity, including scheduling donor meetings, preparing briefing materials, tracking follow-ups, and advancing prospects through cultivation, solicitation, and stewardship phases
  • Maintain a clear, high-level view of campaign progress at all times, ensuring leadership has access to accurate, real-time information
  • Lead and prepare for prospect check-in and moves management meetings, ensuring clear agendas, focused discussion on key prospects, assigned ownership for next actions, documented outcomes, and deadlines
  • Draft thoughtful, donor-centered correspondence including invitations, solicitations, briefings, acknowledgments, and updates
  • Support and manage campaign volunteer leadership in partnership with the Director of Development
  • Coordinate calendars, meetings, materials, and communications for campaign committees and cabinet members
  • Manage the campaign communications plan, including coordination of print and electronic collateral materials and collaboration on design and production
  • Coordinate campaign-specific activities such as cultivation events, donor meetings, recognition gatherings, and milestone celebrations
  • Ensure all prospect and donor data is accurately and consistently recorded in the donor management system
  • Monitor campaign benchmarks, pledges, and progress toward goals
  • Collaborate with the Development Team to support key community and advancement events
  • Participate fully in the life of the School by attending events, meetings, and activities
  • Perform other duties as assigned.
