Job Requirements

  • Bachelor’s degree
  • 7-10 years meeting planning experience in pharma or biotech
  • Cvent certified user
  • ability to manage multiple events simultaneously
  • experience in contract negotiation and sourcing
  • strong communication and collaboration skills
  • knowledge of healthcare compliance including OIG and FDA
  • ability to travel approximately 30% including some weekends
  • proficiency in Microsoft Office applications
  • ability to work in a fast-paced environment
  • excellent problem solving and decision-making skills
  • ability to work independently and in a team environment
  • fluency in English

  • deep experience in end-to-end event lifecycle in life sciences meetings

  • strong relationship building with internal stakeholders and external partners
  • critical thinking to develop strategy and execution plan across marketing, sales, medical, market access and training
  • ability to multi-task managing multiple events simultaneously
  • confident in presenting to senior leadership
  • experience leading cross functional teams
  • demonstrated oral and written communication skills
  • demonstrated collaborative and influencing skills
  • knowledge of OIG, FDA and healthcare compliance

Job Duties

  • Act as main point of contact for assigned program’s meeting owners and ensure all milestone elements are communicated and met
  • lead weekly client status calls for assigned meetings to discuss progress
  • work with sourcing team and clients on finalizing venue selection
  • oversee sourcing and contracting process depending on workload
  • work with registration team to build, QC, and launch registration websites
  • assess stakeholders’ satisfaction with services delivered by dedicated teams
  • ensure successful attendee experience
  • manage overall project financials and communicate changes to client while creating cost savings ideas
  • negotiate and manage contracts including hotel, supplier, audio-visual, DMC, and third-party contracts
  • initiate supplier payments and client invoices providing updates in a timely manner
  • collaborate with internal teams to ensure timely deliverables, accurate planning, forecasting, and resource allocation
  • act as expert problem solver managing multiple priorities
  • educate stakeholders about risks in meeting logistics guiding towards solutions
  • lead and manage assigned meetings and events ensuring flawless execution and high-impact experience
  • provide thought leadership and sales support to drive adoption of Events Management application
  • support Congress strategy and meeting management with logistics teams
  • support venue contracting, payment processing, and documentation for internal and HCP events
  • conduct site inspections for complex meetings
  • lead weekly logistics team status calls
  • ensure accurate capture and reporting of program data in Cvent
  • collaborate with cross functional partners and vendors ensuring alignment and timely resolution of issues
  • partner with brand, medical, legal, regulatory, and HCP operations teams to coordinate patient and caregiver involvement in events
  • share best practices and improve meeting processes
  • manage communication between third-party logistics partners and attendees
  • partner with finance and procurement to manage contracts, budgets, and payments
  • maintain contracts, SOWs, event records and compliance documentation
  • ensure compliance with company policies and industry regulations
  • assist preparation of compliance audits and reporting
  • support development of meeting guidelines focusing on HCP meetings
  • manage and track event budgets and create financial reports
  • create and analyze post event debrief reports
  • support dashboard and analytics tools development to measure success
  • identify opportunities for process improvements in meeting execution
  • define standard event management data and processes with Director
