Job Requirements

  • Bachelor’s degree or equivalent
  • Four years of relevant event experience or equivalent
  • Strong verbal and written communication skills
  • Excellent organizational skills with meticulous attention to detail
  • Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities
  • Knowledge of space planning, event logistics and social protocol
  • Strong computer skills including Word, Excel and Canva
  • Ability to perform physical event-related tasks and work extended hours
  • Experience with event databases, registration platforms and project management software a plus
  • Experience with broadcast email a plus
  • Must have and maintain a valid driver’s license and satisfactory driving record
  • Ability to travel 2-3 times per month for 12-72 hours each trip

Job Duties

  • Coordinates complex campaign-related events by working closely with campaign events manager and university colleagues
  • Partners with marketing and communications to construct invitation collateral and event content
  • Manages guest lists, tracks RSVPs, records information in event tracking platform, produces nametags, and oversees on-site registration
  • Assists in overseeing event logistics including vendor coordination, venue setup, audio/visual and catering arrangements, guest experience, and event flow
  • Develops event timelines, forecasts budget projections, reconciles expenses, and conducts post-event analysis
  • Supports campaign events manager in venue selection and vendor management
  • Trains and onboards event staff and prepares training materials
