Job Requirements

  • Bachelor's degree in hospitality, recreation, events management, marketing, or business
  • 1 to 3 years of experience in event planning, development, or hospitality
  • Valid State driver's license
  • Ability to obtain CPR and First Aid certifications
  • Must submit a resume and cover letter with application
  • Must satisfactorily complete a background check
  • Successful completion of a drug test upon conditional offer
  • Availability to work some nights, weekends, and holidays
  • Willingness to perform physical tasks including setup and teardown
  • Ability to communicate effectively and work independently under supervision

Job Qualifications

  • Bachelor's degree in hospitality, recreation, events management, marketing, or business
  • 1 to 3 years of experience in event planning, development, or hospitality
  • Strong organizational and communication skills
  • Ability to manage multiple projects simultaneously
  • Proficiency with budgeting and data management systems
  • Valid State driver's license
  • Ability to obtain CPR and First Aid certifications
  • Experience with community partnership development
  • Marketing and social media coordination skills

Job Duties

  • Assist in planning, implementing, and evaluating over 120 community events annually such as festivals, concerts, parades, and seasonal events
  • Coordinate and lead assigned events including the Vienna Photo Show and Contest, Flashlight Egg Hunt, Summer on the Green Concert Series, and others
  • Serve as Town liaison for Town Partnership events such as Viva Vienna and Oktoberfest
  • Coordinate event logistics including site layouts, event timelines, and staff assignments
  • Draft emergency plans and apply for required permits with relevant agencies
  • Prepare part-time event staff schedules and assist with hiring and oversight
  • Coordinate with vendors and performers including correspondence, contracts, and service quotes
  • Prepare event training and support materials and lead event-specific training sessions
  • Provide on-site event support and supervise staff and stakeholders
  • Assist with physical setup and teardown of event equipment and supplies
  • Manage inventory, restock, and properly store event equipment
  • Act as Manager on Duty in Superintendent’s absence
  • Support sponsorship development and execution
  • Build and maintain partnerships with community organizations and businesses
  • Assist with marketing plans and social media content in coordination with the Public Information Office
  • Update Town website with event information
  • Track and report event data including attendance and expenses
  • Manage event budgets and invoice processing
  • Prepare event documentation and reports
  • Conduct post-event evaluations
  • Respond to event inquiries and provide customer service
  • Attend professional meetings and trainings
  • Maintain positive working relationships and perform related tasks as assigned
