Job Requirements

  • Bachelor's degree or high school diploma or equivalent
  • minimum of four years of related administrative experience or eight years of experience with appropriate education combination

Job Qualifications

  • Bachelor's degree and four years of experience related to an administrative service

Job Duties

  • Provide leadership and oversight of College of Business events team
  • Strategically manage campus-based COB events including galas, receptions, seminars, meetings, conferences, lectures, symposia, outreach programs, and fundraising events
  • Determine all event arrangements such as budget, reservations, catering, photography, parking, transportation, permits, equipment, entertainment, event signage, promotional items, guest lists, seating charts, name tags, staffing and special requests
  • Work with the college's UBA team on contractual agreements, cost tracking, and paying invoices
  • Collaborate with the team on event logistics, expectations, and details
  • Identify, procure, and manage inventory of event-related assets including furniture, stage risers, pipe and drape, and other materials
  • Supervise full-time staff and manage student assistants supporting event operations including training and scheduling
  • Manage all reservations for COB facilities and spaces to ensure efficient use and minimize scheduling conflicts
  • Coordinate space management for college partners such as Business Career Services, Student Engagement, Academic Advising, the Sales Institute, centers, and institutes
  • Collaborate with ITS to implement and maintain software systems for space reservations
  • Maintain and implement fee schedules, issue contracts, and ensure completion of required documentation
  • Communicate event guidelines, usage policies, and procedural instructions effectively to clients
  • Manage parking reservation requests
  • Liaise with FSU Facilities for cleaning, setup, and maintenance of event spaces
  • Recruit, train, and manage student assistants for facility operations and reception desks
  • Establish and maintain relationships with vendors and campus units
  • Collaborate with college personnel on event and facility operations
  • Manage contractual agreements with clients and vendors
  • Communicate with COB faculty, staff, and students to ensure effective events and facility operations
  • Serve as liaison with campus officials and vendors for event implementation and facility management
  • Manage post-event activities including feedback solicitation and vendor appreciation
  • Work with the COB marketing team to provide event information for press and media communications
