Job Requirements

  • High school diploma or equivalent
  • minimum 2 years receptionist or administrative experience
  • proficient in MS Office software
  • strong interpersonal and communication skills
  • ability to maintain security protocols
  • excellent organizational skills
  • capacity to multitask effectively
  • professional demeanor
  • punctual and reliable
  • willing to work occasional overtime
  • legal authorization to work in the United States

Job Qualifications

  • High school diploma required
  • some college or trade school preferred
  • 2+ years of experience as a receptionist or in an administrative role
  • previous switchboard or reception experience preferred
  • strong organizational and problem-solving skills
  • superior attention to detail
  • ability to meet and greet visitors professionally, graciously, and courteously
  • excellent time management and communication skills in a corporate environment
  • proficient in MS Office, including Microsoft Office functions and Excel
  • maintain security by controlling access and submitting visitor badges
  • ability to multitask in a busy environment

Job Duties

  • Greet all visitors cordially and professionally
  • type correspondence, reports, labels, contracts as directed
  • manage the Customer Success Departmental weekly calendar
  • manage break room supplies
  • process orders for amenities such as supplies, paper, and pantry supplies
  • serve as the main contact for vendors and ensure they are escorted into the building
  • maintain and distribute list of associate contact information
  • arrange and schedule meetings as needed
  • ensure the entire lobby reception desk remains tidy, organized, and ready for business
  • act as backup support for senior executives by taking accurate messages and transferring calls
  • provide level 1 support for the Customer Success Department
  • scan documentation for archiving
  • prepare reports
  • train back-up support for switchboard
  • act as main contact for departmental safety drill
  • pick up and sort mail
