Job Requirements

  • A high school diploma or equivalent
  • Related clerical, receptionist, or customer service experience
  • Knowledge of front office and reception procedures
  • Knowledge of customer service principles and professional etiquette
  • Ability to communicate clearly and courteously with diverse audiences
  • Ability to exercise sound judgment and discretion
  • Ability to manage multiple tasks in a fast-paced environment
  • Ability to follow security and safety procedures
  • Basic proficiency in Microsoft Office (Outlook, Word, Teams)
  • Ability to maintain confidentiality of sensitive information

Job Duties

  • Serves as the primary point of contact for all visitors, vendors, and guests
  • Greets, screens, and directs visitors in a professional and courteous manner
  • Verifies visitor identification and issues visitor badges in accordance with agency access control procedures
  • Maintains accurate visitor logs and ensures compliance with building security protocols
  • Monitors lobby activity and reports suspicious or unusual behavior to appropriate personnel
  • Coordinates with agency leadership and/or building security regarding visitor access
  • Answers and routes high-volume incoming telephone calls using a multi-line system
  • Responds to general email inquiries and directs correspondence appropriately
  • Provides accurate information regarding agency services and directs inquiries to appropriate staff
  • Maintains a clean, organized, and professional reception area
  • Receives, sorts, and distributes incoming mail and deliveries
  • Performs light clerical duties directly related to front office operations such as copying, scanning, filing
  • Assists with maintaining front office supply inventory
  • Follows established safety, evacuation, and emergency response procedures
  • Exercises sound judgment when addressing disruptive visitors or sensitive situations
