Job Requirements

  • High school diploma or equivalent
  • Several years of related office work experience
  • Fully functional knowledge of standard office procedures
  • Ability to handle multiple priorities and projects independently
  • Ability to interpret and apply policies and procedures
  • Strong judgment and discretion
  • Ability to troubleshoot office administration problems
  • Effective interpersonal and negotiation skills
  • Ability to compose and present reports
  • Compliance with background check and CSU employment policies
  • Ability to work occasional evenings or weekends
  • Must comply with confidentiality and mandated reporting requirements

Job Qualifications

  • Knowledge of standard office procedures and practices
  • Thorough knowledge of English grammar, spelling, and punctuation
  • Ability to communicate clearly both orally and in writing
  • Knowledge of business mathematics beyond basic arithmetic
  • Ability to quickly learn new office support technology and software
  • Experience with Microsoft or Google spreadsheets and databases
  • Experience with communication campaigns using social media, Canvas, web, email, and Salesforce
  • Strong written and oral communication skills
  • Excellent attention to detail and organizational skills
  • Experience planning and coordinating events
  • Experience with student success CRMs such as Salesforce Student Success Hub
  • Experience tracking and monitoring expenditures

Job Duties

  • Coordinates office services and support including supply and equipment orders, room use requests, and work orders
  • Assists with maintaining documentation of process workflows and office procedures
  • Manages reception area and schedules advising appointments
  • Coordinates and facilitates staff travel ensuring compliance with university policies
  • Supports event coordination including marketing, venue reservations, participant registration, and vendor communication
  • Prepares and disseminates department newsletters and maintains department websites
  • Recruits, hires, trains, and supervises student assistants
  • Tracks budget encumbrances, reconciles expenditures, and reviews invoices
  • Performs other related duties and special projects as assigned
