Job Requirements

  • Completion of a four-year college degree program or equivalent combination of education and experience
  • One to three years of related work experience in planning and producing institutional or fundraising events
  • Experience in vendor contract negotiations and budget management
  • Familiarity with database, spreadsheet, word processing, and presentation software
  • Experience in a customer-service environment
  • Valid driver’s license at time of hire
  • Ability to lift and move event materials weighing at least 25 pounds
  • Availability to travel approximately 10% of the time
  • Willingness to work some evenings and weekends

Job Qualifications

  • Bachelor’s degree or equivalent experience in business, hospitality, communications, marketing, theater, or arts management
  • Three to five years of professional experience in live event production, experiential marketing, or advancement/alumni relations
  • Demonstrated ability to plan and execute high-impact, story-driven events
  • Experience with various event formats including live, virtual, and hybrid
  • Deep understanding of audience experience and emotional pacing
  • Strong narrative and storytelling skills
  • Skilled in managing expectations and building consensus
  • Experience with donor stewardship and fundraising campaigns
  • Commitment to exceptional customer service, teamwork, and open communication

Job Duties

  • Conceptualize and plan live and virtual events that convey Spartan stories and university impact
  • Lead event production ensuring alignment with strategic goals and milestones
  • Manage event budgets and track expenses
  • Coordinate with university leaders, faculty, students, and internal teams to develop compelling content
  • Research venues, formats, and technologies for immersive event experiences
  • Negotiate contracts with external vendors and contractors
  • Provide on-site event support and serve as primary contact during event execution
  • Conduct post-event evaluations to improve future events
  • Collaborate with alumni and donor volunteers on related initiatives
  • Maintain and enhance knowledge of event-related computer systems
  • Contribute to a collaborative and innovative team culture
