Job Qualifications

  • Bachelor's degree preferred
  • Expert knowledge of Microsoft Word and Excel
  • Proficient in Blackbaud's Raiser's Edge (database view and NXT)
  • Experience or working knowledge of Google systems
  • Demonstrated ability to multitask and meet project deadlines

Job Duties

  • Maintain donor database by updating contact information, professional titles, meeting notes, and relationship links in Blackbaud's Raiser's Edge with accuracy
  • Track outstanding pledges and send periodic reminders to donors
  • Generate, personalize, and mail timely gift acknowledgment letters and tax receipts
  • Create and maintain tracking systems such as campaigns, funds, and appeals for gift entry
  • Track guest attendance for special events
  • Receive and process confidential and sensitive information with discretion
  • File electronic and hard copy correspondence and donations
  • Conduct prospect screening, research, and segmentation
  • Accurately record all charitable contributions including cash, checks, credit cards, stocks, and matching gifts into the Raiser's Edge database
  • Post gifts to the General Ledger and prepare posting reports for the Business Office
  • Collaborate with the Business Office to ensure gift coding accuracy and reconcile development reports
  • Prepare daily and weekly financial and statistical reports
  • Prepare monthly and year-end fiscal reports for the business office and auditors
  • Support planning and logistics for Advancement Office meetings and events including coordinating facilities requests, vendors, invitation mailings, RSVPs, and event materials
  • Assist the Advancement Department in fundraising, donor relations, marketing, and volunteer coordination
  • Conduct donor prospect research using Raiser's Edge and online resources
  • Initiate routine tasks independently
  • Coordinate donor mailings such as invitations and newsletters
  • Prepare reports, memos, forms, correspondence, and presentations
  • Attend Development Committee meetings and take minutes
  • Order materials, supplies, and equipment upon approval
  • Maintain accurate calendar of events, due dates, and schedules
  • Perform other duties as assigned by the Chief Advancement Officer or Head of School
