Job Requirements
- Bachelor’s degree or equivalent combination of education and experience
- 3-5 years of administrative support experience preferably supporting multiple positions or office management
- Applicants must be authorized to work for any employer in the United States without visa sponsorship
- Successful completion of a background check in accordance with Coe College policy
- Computer proficiency in Microsoft Office Suite
- Strong verbal and written communication skills
- Exceptional organizational skills including critical thinking and ability to manage multiple priorities

Job Duties
- Provide executive administrative support to the AVP leadership team for updating Raiser’s Edge records including contact reports and scheduling emails
- Act as the primary contact and liaison for the Advancement Office answering phones and greeting guests
- Coordinate all functions of the Clark Alumni House including room reservations and campus communication
- Assist in handling day-to-day office operations such as credit card management, scheduling, meeting agendas and minutes, travel arrangements, and correspondence
- Draft, prepare, and coordinate departmental communications including emails, letters, reports, and gift agreements
- Prepare monthly budget reports, process purchase orders, and maintain credit card filing systems
- Support all Advancement staff activities including proofreading correspondence, testing event emails, sorting mailings, and assisting with special events
- Attend and take minutes for Board of Trustees’ Advancement and Trusteeship Committees and assist in scheduling
- Act as a liaison for gifts of art and participate in the Permanent Art Collection Committee
- Plan large events such as Contemporary Issues Forum and Barron Bremner Outstanding Athlete awards
- Coordinate process documentation updates and maintain the Coe College website
- Serve as backup timecard approver for Advancement leadership and directors
